A fly date is a show where the act flies in, plays and flies out, rather than traveling by bus or van with their own production. Los Angeles hosts a lot of them: showcases, label events, TV appearances, private shows, festival slots and award-season performances. They're efficient for the artist and demanding for everyone else: there's no truck full of familiar gear, so everything the band needs has to be on site and right the first time.
What touring acts usually carry
On a fly date, artists bring what's personal, irreplaceable or small enough to fit on the plane:
- Guitars and basses, usually in flight cases
- Pedalboards
- In-ear molds, and sometimes their own IEM packs
- Laptops and interfaces for playback, click and keyboard rigs
- Snare drum, cymbals and stick bag for some drummers
- Show files for the FOH and monitor engineers
- Sometimes vocal mics or capsules
What they usually rent
Everything big, heavy or standard:
- Keyboards like the Nord Stage 3, plus stands and pedals
- Amps and cabinets
- Drum kits and hardware
- Wireless microphones and IEM systems — or extra channels for a bigger show
- Consoles and stage boxes when the engineer needs a specific platform
- DI boxes, cables and power distribution
The more standard the rider, the easier the fly date. Many artists deliberately spec common instruments so they can play anywhere. Read rent or own? for how touring acts make that call.
The fly-date rider
Most acts keep a shorter fly-date rider alongside their full production rider. It lists what the act needs provided, assuming they're carrying very little. If you only have the full rider, ask the production manager which items apply. Our guide to reading tech riders walks through what to look for.
Timing is everything
Fly dates often run on tight schedules: the band lands in the morning, soundchecks in the afternoon and plays that night. Build the schedule backwards from doors:
- Delivery and setup before the band arrives
- Line check by the crew or house tech
- Soundcheck, with time to restore keyboard backups and load show files
- Doors and show
- Load-out and pickup, often late at night
Share the full schedule with your backline company so delivery and pickup are planned around it — not squeezed in at the last minute.
Los Angeles logistics
LA adds a few considerations:
- Traffic is real. Delivery windows should account for drive times across the region.
- Venue access varies. Some venues have docks; others have street loading with tight parking rules. Share load-in instructions, parking details and any security check-in requirements.
- Studios and soundstages often need advance vendor registration and COI (certificate of insurance) paperwork. Ask early.
- Private events at homes or estates may have restricted delivery times and long carries.
Advance the backline
A good backline advance for a fly date confirms:
- Every item by make and model, with accessories
- Spares: wireless channels, IEM packs, cables, batteries
- Power at each instrument position
- Whether the act needs instruments early to load sounds or restring
- Contacts for the tour manager, production manager and on-site crew
- Delivery and pickup times, with addresses and access notes

On-call support
Things go wrong on show days: a pedal fails, a performer adds a wireless mic, a cable dies at soundcheck. Ask your backline company how to reach them during the show and what their response looks like. Local support is one of the biggest advantages of renting in the city where you're playing.
